How fixing the systems underneath Rebecca’s course gave her time back

Rebecca Tolin had a course that was working. Students were getting results, the content was strong, and she believed in what she was teaching. But behind the scenes, everything depended on her doing it manually, and it was starting to cost her.

She came to me overwhelmed with the number of tasks involved in running her course. What we found when we looked underneath wasn’t a marketing problem or a strategy problem. It was a systems problem. The platforms weren’t talking to each other, the emails weren’t automated, and every launch required her to do the same work from scratch.

Who is Rebecca?

Rebecca Tolin

Rebecca Tolin is a mind-body practitioner who helps people recover from chronic fatigue, pain, and other mind-body symptoms.

In her course, Be Your Own Medicine, she teaches people how to safely process emotions, regulate their nervous system, retrain their brain, and find self-compassion.

Valuable, careful, thoughtful work. Exactly the kind that deserves a business infrastructure that supports it.

What wasn’t working

Rebecca had been running her course on Mighty Networks, but wanted to move to Thinkific. Her website and sales page were on Squarespace, and her email list was there too, but she’d outgrown what it could do. She wanted better segmentation and proper automation for her course and marketing emails, and she wasn’t sure how to make it all fit together.

On top of that, each cohort launch involved duplicating work she’d already done. Updating pricing, setting up coupons, refreshing links. All of it, every time, by hand.

What we fixed

Platform migration and automation setup

I moved her course to Thinkific and migrated her email list to Mailerlite, where we could properly segment students and set up automated sequences. I connected the two platforms via Zapier, so new students added in Thinkific are automatically added to the right sequence in Mailerlite. Welcome emails go out without anyone pressing send.

Sales page improvements

I audited her sales page and identified a gap: there was no clear overview of what was actually inside the course. I added a “What’s Inside” section to her Squarespace sales page so potential students could see exactly what they were getting before they had to ask.

Repeatable launch setup

For each live cohort, I set up a system for duplicating the course in Thinkific, updating pricing, creating coupons with automated expiration, and refreshing registration links on the sales page. What used to be a pile of manual tasks became a process that could be run consistently each time.

Course materials

I also designed slide decks and interactive PDF checklists for the course itself, and edited video and audio from live session recordings, so the course content was as polished as the experience Rebecca was delivering.
